Process Improvement Clients & Experience

The Efficiency Group has successfully supported a variety of clients in process improvement and reorganization efforts. Some look to overhaul existing processes, while others look to fine tune their enterprise or identify resources that may be required prior to starting a new activity.

Energy Information Administration

The Efficiency Group worked on a project to support the Energy Information Administration (EIA) at the Department of Energy in defining clear business processes related to EIA’s survey operations. The goal of this effort was to assist EIA in developing and implementing improved business processes within a reorganized structure to ensure process standardization, transparency, clarity and consistency. This effort featured multiple Kaizen events with EIA Subject Matter Experts, development of to-be business processes for specific EIA functions, and testing of those developed processes through a pilot implementation. The Efficiency Group worked with EIA in support of its mission to collect, analyze, and disseminate independent and impartial energy information to promote sound policymaking, efficient markets, and public understanding of energy and its interaction with the economy and the environment. 

National Heart, Lung, and Blood Institute

The Efficiency Group has led the effort to support NHLBI in improving all business-critical functions, including those associated with grant award and management, and contract management. Using Lean Six Sigma techniques, The Efficiency Group defined business workflows, identifying commonalities, and supporting requirements development for eventual workflow deployment in a new, cross-Institute, enterprise workflow tool. We supported deployment of new processes via implementation support, change management and communications bound by a Continuous Process Improvement strategy. 

NIH Office of Logistic and Acquisitions Operations

The Efficiency Group has supported the National Institutes of Health Office of Logistics and Acquisitions Operations in the development and delivery of Lean Six Sigma Green and Black Belt training to their personnel.  Training features knowledge-sharing in multiple LSS tools and techniques with emphasis on their practical implementation within the NIH environment.  In addition, we supported project mentoring for those trained individuals seeking to be certified as Green or Black Belts.  Mentoring supports the trainees in applying their Lean Six Sigma skills to existing NIH process challenges and helps them operationalize Lean Six Sigma for future process improvement opportunities.  This effort supports the creation of a cadre of trained staff across NIH, capable of examining and improving NIH processes via the application of Lean Six Sigma.

Department of State

The Department of State, Bureau of Population, Refugees, and Migration Refugee Processing Center (RPC) processes thousands of refugee resettlement requests annually from around the globe. The RPC decided to optimize their system and operations to more efficiently manage, track and report on refugees seeking resettlement to the United States. Staff from The Efficiency Group worked to reengineer the system and processes used for refugee asylum requests.

Environmental Protection Agency

At the Environmental Protection Agency (EPA), Office of Strategic Environmental Management (OSEM), The Efficiency Group led the effort to support EPA OSEM in providing Lean facilitation and Lean coaching to EPA practitioners and Subject Matter Experts. The initiative involved coaching Lean facilitators on current or ongoing events; providing more intensive training (classroom-style) for management and execution of Lean events; emphasizing group dynamics; and identification of process improvement opportunities, change management, and just-in-time coaching. 

Centers for Medicare & Medicaid Services

At the Centers for Medicare & Medicaid Services (CMS), Enrollment Assistance Program Processes Assessment and Improvement, staff from The Efficiency Group led the review and improvement of the Affordable Care Act Enrollment Assistance Program processes and procedures. The goal was to streamline and improve enrollment assistance processes to support improved enrollment across the program. The effort included extensive data review, analysis, and correlating to-be processes with new tool development and implementation.

Federal Emergency Management Agency

Staff at The Efficiency Group led the development and implementation of a business transformation effort associated with on-boarding and off-boarding FEMA employees. We served as the technical lead for a team of 10 process engineers documenting and re-engineering FEMA business processes. We modeled, analyzed, and developed an integrated to-be process for multiple FEMA on-boarding and off-boarding activities.

National Practitioners Databank

At the Department of Health and Human Services, National Practitioner Data Bank, Dispute Resolution and Compliance office, principals at The Efficiency Group led the re-engineering of the HHS, NPDB dispute resolution and compliance business processes. Utilizing Lean Six Sigma techniques to define project goals and objectives, ensure participant buy-in, schedule and manage the initiative, we held multiple stakeholder sessions and developed surveys to identify ‘root cause’ process challenges. We analyzed data via Pareto and scatter plot statistical views, and analyst View workforce loading. We defined to-be business processes for both functions and identified enhanced system functionality for the Tracker management tool.
